2009 CRWAD ABSTRACT AUTHOR INSTRUCTIONS

Notice: 2010 CRWAD Meeting, Dec. 5-7, Marriott, Chicago, IL (downtown magnificent mile)

READ THIS BEFORE COMPOSING AND SUBMITTING YOUR ABSTRACT

The 2009 CRWAD Meeting will be held December 6 - 8, at the Chicago Marriott, Downtown Magnificent Mile, Chicago, Illinois.  The meeting will begin with the Researchers Reception, Sunday evening.  The first poster session will coincide with the Researchers Reception.  Presentations will conclude by 1 pm Tuesday afternoon, December 8.  Attendance is limited to members, participants on the program and guests invited by the Council.  If you desire to present at the Annual CRWAD Meeting or want an invitation to attend please contact Dr. Robert P. Ellis.

For those who need a US Visa in order to attend the CRWAD meeting please start your application process early.

Electronic Abstract submission using an attached PC (not Mac) Word document to an e-mail and submitting an on-line form will be required for the 2009 meeting.  (Notice: Abstract Section Preference and Graduate Student Competition Entry must accompany the abstract attachment in the body of the e-mail. See instructions below.) If you are using a Mac computer to prepare the Word document please convert it to a PC format prior to e-mailing it as an attachment.  Please make sure the converted Word document can be read by a PC computer. DEADLINE FOR ELECTRONIC ABSTRACT RECEIPT- August 25, 2009.  This deadline is FIRM.

E-mail as an attachment only one copy of your abstract.  The e-mail attachment must be received on or before the deadline by Dr. Robert P. Ellis, CRWAD Executive Director <robert.ellis@colostate.edu>.  Please do not fax or send a hard copy of your abstract.

A presenter is required to wear their name badge during their presentation.

Please compare your abstract and the checklist to be sure that all the pertinent points and requirements have been followed properly.  Your abstract will not be accepted until you have completed the following 4 steps:

 

Checklist, On-Line Form and Requirements

Notice: Once you have emailed your abstract, please allow 10 business days for us to process the abstract and email to you the “received abstract” acknowledgement.

Step 1) E-mail one copy of the abstract as a PC (not a Mac) Word attachment to <robert.ellis@colostate.edu> E-Mail must include Step 3 below. Abstract must meet all of the " Checklist Requirements"

Step 2) Submit the on-line form for the Abstract Title, a short Abstract Title, Abstract Contact information and the Abstract Authors.  We will need the on-line form information in order to complete the author index for the Proceedings as well as the title for the Program.  Failure to submit the on-line form will omit your author information from the index of the Proceedings and your abstract short title from the Program.

Step 3)

  1. Include in the body of your e-mail your first and second choices of Section and whether your presentation is oral or poster from the lists below to indicate in which section you wish to present:

    C. Students who wish to enter the student competition must choose the Graduate Student Competition Entry from the list below. Student presenters must be present with their competition entry posters during the poster sessions for judges' interviews. Failure to register for the meeting will eliminate your presentation from the competition.
    GRADUATE STUDENTS may enter ONLY ONE ABSTRACT (one oral OR one poster) for competition in one of the following categories.
    Graduate Student Competition Categories List:
    American Association of Veterinary Immunologists - AAVI
    American Association of Veterinary Parasitologists - AAVP
    American College of Veterinary Microbiologists - ACVM
    Association of Veterinary Epidemiology and Preventive Medicine - AVEPM
    Biosafety and Biosecurity - BB
    NC1007 Enteric Disease Research - EDR

    D. List additional Authors (if applicable) in the body of your e-mail.(The on-line form will submit five authors plus one contact author.)

Step 4) Abstract must meet all of the " Checklist Requirements"

Authors will be notified of the section, day, and time of their presentations by reading the Annual Meeting Program which will be posted on our web site near the end of October. Contact Authors will be e-mailed a notice when the on-line Annual Meeting Program is available.


Chicago Marriott (Downtown) Room Reservations

A custom Web site has been created by the Chicago Marriott Hotel for CRWAD attendees (including symposium attendees) to reserve their hotel sleeping rooms.  Guests can access the site to learn more about the event and to book, modify, or cancel a sleeping room reservation.

Attendees please note:
The custom link will direct you to the Marriott property's home page and will have the CRWAD group code (ccrccra is group code for on-line form) already entered in the appropriate field. Just make your sleeping room reservation by entering your arrival date to begin the reservation process.

If you call the hotel (Toll-Free: 1-800-228-9290) to make your sleeping room reservation make sure you ask for the CRWAD group rate code "CCR" (group rate code for phone calls).  Place your reservation by November 18, to secure a sleeping room under the CRWAD group rate. 2009 CRWAD Group Rate is $179 for a single/double room.

DO NOT send your CRWAD meeting registration payment to the hotel.

NOTICE:  The Chicago Marriott may be sold out the nights of December 5 and 6, 2009.  CRWAD has a block of rooms reserved, and you must make your reservations by November 18 to insure that you obtain a room before our block is released.  When reserving your room by phone make sure you indicate your affiliation with the CRWAD in order to receive the special CRWAD group rate.


CRWAD Pre-Registration Information

REFUND POLICY: Registration fee full refund, less $20, if requested within 35 days of annual meeting; 50% refund from 34 - 15 days before annual meeting; no refund if requested 14 days or less before annual meeting.
