TABLE TOP EXHIBITOR INFORMATION - DETAILS

The Conference of Research Workers in Animal Diseases (CRWAD) was established in 1920. CRWAD is a non-profit organization and has been so since its origin. The sole purpose of CRWAD is to discuss and disseminate the most current research advances in animal diseases. The annual meeting is held each November or December where research scientists from around the world present their recent research in oral or poster presentation formats. The meeting averages 550 in attendance, and 325 presentations.

Graduate students and industry and academic professionals present and discuss the most recent advances on subjects of interest to the CRWAD and of importance to the global livestock and companion animal industries. The oral and poster abstracts of new and unpublished data presented at the meeting sessions are published each year in the CRWAD Proceedings. The CRWAD meeting has 8 sections for research reports: Bacterial Pathogenesis, Biosafety and Biosecurity, Epidemiology and Animal Health Economics, Food and Environmental Safety, Gastroenteric Diseases, Immunology, Vector-Borne and Parasitic Diseases, and Viral Pathogenesis. CRWAD Conference
The 2008 CRWAD Meeting will be held December 7- 9, at the Chicago Marriott, Downtown Magnificent Mile, Chicago, Illinois.  The meeting will begin with the Researchers Reception, Sunday evening.  The first poster session will coincide with the Researchers Reception. Presentations and the Business Meeting will conclude by 1 pm Tuesday afternoon, December 9. Several symposiums and satellite meetings are held prior to and in conjunction with the CRWAD meeting. Exhibits - When and Where
The 2008 CRWAD Meeting, Symposiums, and Satellite Meetings will be held December 5- 9, at the Chicago Marriott, Downtown Magnificent Mile, Chicago, Illinois. The Table Top Exhibits will start on Saturday, December 6, and end on Tuesday, December 9, 2008.

Table Top Exhibit Times:

Saturday - Setup 8:00 am; Exhibits Open - 9:30 am to 5:30 pm
Sunday - 7:45 am to 5:00 pm; CRWAD Opening Reception 6 pm to 8 pm (Ballroom III, 7 th Floor)
Monday - 7:45 am to 5:00 pm; Poster Session II (Ballroom III, 7 th Floor) 4:30 pm to 6 pm
Tuesday - 7:45 am to 10:00 am; Takedown 10:00am

Who Should Exhibit
Companies who provide or produce “tools” used in animal disease and biomedical research should exhibit.

Exhibitor fees
$800; or $875 if a power strip is needed.
Exhibitor fee includes registration for two people plus in-hotel delivery of materials to 5th Floor CRWAD Office Storage.

Table Top Exhibits Equipment
Two tables maximum: May use two 6 foot x 30 inch draped tables, or one 6 foot x 30 inch draped table and one 6 foot x 30 inch draped table with a counter-top height; and two chairs. Exhibitor will be responsible for bringing an exhibit identification sign to be attached to the front of one of the draped tables or to be set on the back of one of the tables.

Guidelines for Exhibit
Hotel Fire Code prohibits pop up exhibits in the hotel foyer. There shall be no free standing exhibits and no exhibits set up beside a table. The entire exhibit must be on the table(s) top.

Application for Table Top Exhibit Space
The application for table top exhibit space is available at here . The full amount for table top exhibit space must accompany the application. The application must be received prior to the meeting, by no later than October 31, 2008.

Exhibitor Registration
Please pre-register your exhibit’s company personnel on the exhibitor’s application form. The registration fees for two company personnel are waived. The two exhibitor badges will be hand delivered to you upon your arrival to 5th Floor Foyer during your set-up. Badges must be worn at all times. Please contact Dr. Robert Ellis upon your arrival at the hotel. The CRWAD registration desk will be open on Sunday, December 7, 2008 at 10:00 am to 5:30 pm, and Monday from 7:00 am to 5:00 pm for a communication center (located on 5th Floor). Additional exhibitor badges are not available. The two registered exhibitors are invited to attend the Sunday evening Researchers Reception and Poster Session I, the Monday and Tuesday breaks, and the Monday afternoon Poster Session II.

Exhibitor Housing
All housing will be handled by Chicago Marriott, Downtown Magnificent Mile, Chicago, Illinois. To make reservations, go to http://www.cvmbs.colostate.edu/mip/crwad/ . Room reservations must be made at this web site in order to receive the CRWAD special room rate.

Installation and Take Down
The installation period is Saturday, December 6, 8 am – Noon; exhibits may open at 9:30 am, Saturday.

Table top exhibit space is available for set up after 8 am Saturday morning, December 6, 2008. Table top exhibits must be installed by no later than noon, Saturday, December 6, 2008. All costs incurred by the exhibitor are at the expense of the exhibitor.

Exhibitors will not be permitted to take down their exhibit or do any packing until 10 am, Tuesday morning (exhibit closing time) after the coffee break, December 9, 2008. All exhibits must be taken down by 12:45 pm. The handling, placing, or setting of merchandise that is to be displayed does not require union labor and may be done by the exhibitor.

Shipping and Handling
Complete shipping address and instructions will be provided with the confirmation. Advance shipments of exhibit material must be made to the Marriott Hotel as indicated in the confirmation information. All shipping costs to and from the Marriott Hotel are borne by the exhibitor. The cost of delivering materials from the Hotel loading dock to the 5th Floor CRWAD Office Storage is included in the table top exhibit fee.

Handout Materials
All handout materials are expected to be of a professional nature. CRWAD reserves the right to disallow any material that they believe to be inappropriate. (See exhibit terms and conditions D#2).

Exhibitor Badges
Exhibitors will be given two badges for exhibit personnel. All exhibit personnel will be required to wear a CRWAD exhibitor badge at all times. No persons shall gain entrance without the proper badge. It will be the responsibility of each company to provide an accurate listing of two representatives to the CRWAD office by October 31, 2008. Company personnel should be pre-registered via the table top exhibitor application form. Personnel names can be changed once you arrive at the hotel with a request to Dr. Ellis.

Liability
Exhibitors agree to protect, save, and hold the Conference of Research Workers in Animal Diseases, the host hotel, and all agents and employees thereof (hereinafter collectively called Indemnities) forever harmless for any damages or charges imposed for violations of any law or ordinance, whether occasioned by the negligence of the exhibitors or those holding under the exhibitor, and save and hold harmless the Indemnities against and from any and all losses, costs, and damages from or out of or by reason of said exhibitor's occupancy and use of the exhibition premises, the hotel, or any part thereof.
